WhatsApp Coexistence Chat History Sync: How It Works, Why It Fails, and How to Fix It

Connected WhatsApp Coexistence but your chat history never showed up? Learn how the 6-month history sync works, why it fails, how to troubleshoot it within the 24-hour window and how to get your past chats into your sales CRM without gaps.

TL;DR

  • Coexistence can import up to 6 months (180 days) of one-to-one chat history from the WhatsApp Business app, as a one-time backfill at connection.
  • The business must choose to share chats during onboarding, and the sync must be completed within 24 hours of connecting.
  • Only one history sync request is allowed per onboarding. If it is missed or fails, the fix is to disconnect and onboard again.
  • Full media comes through only for roughly the last 14 days. Older messages arrive as text, with media placeholders.
  • Configure webhooks before you connect, keep the app open and online, and history will flow into your inbox and CRM.

You've just connected your WhatsApp Business number to the Business Platform through Coexistence. The connection works. New messages are arriving in your team inbox. Your contacts are there.

But the six months of chat history you were expecting? Nowhere to be found.

If that's where you are right now, you're not alone. Chat history sync is the most misunderstood part of Coexistence setup. It is a one-time, consent-based process with a strict time window, and if any one condition is missed, you end up with a working connection and no history.

This guide covers what chat history sync is (and what it leaves out), how to set it up correctly the first time, the most common reasons it fails, how to troubleshoot it and how to get the history into your CRM. The FAQ at the end answers the questions we hear most.

What is chat history sync in WhatsApp Coexistence?

When you connect a WhatsApp Business app number to the WhatsApp Business Platform through Coexistence, the business can choose to share up to 6 months of chat history with the API side. This happens once, as a backfill at the time of connection.

The goal is a warm start. Your team inbox, agents and CRM begin with the context of existing customer conversations instead of starting from zero.

A few points explain most of the confusion:

  • One-to-one chats only. Group chats are not synced. They stay in the app.
  • A one-time backfill. After the initial sync, new messages flow in real time through the API. The 6-month import happens only once.
  • Consent-based. History syncs only if the business chooses to share chats during onboarding. If chat sharing is turned off, the import is rejected and nothing comes through.
  • A 24-hour window and one request. The sync must be requested and completed within 24 hours of connection, and only one history request is allowed per onboarding.
  • Contacts are also synced. Contacts and chat history are imported during Coexsitence Setup.

What syncs and what doesn't

Syncs to the APIDoes not sync
Up to 6 months of one-to-one chatsGroup chats
Text messagesDisappearing messages (turned off for 1:1 chats under Coexistence)
Media from roughly the last 14 daysView-once media (turned off for 1:1 chats)
Message metadata and timestampsLive location (turned off for 1:1 chats)
ContactsChannels
Status updates
Voice and video call logs

The media catch: full media is synced only for roughly the last 14 days before connection. For older messages, the text arrives, but images, videos and documents may show as placeholders rather than files. A 5-month-old thread will read correctly, but the proposal PDF shared in March may not be attached.

The timing reality: the initial sync can take from a few minutes to several hours, depending on chat volume. A number used by two sales reps finishes quickly. A busy support number with heavy traffic can take much longer. Plan onboarding around this (see the steps below).

How to set up chat history sync (step by step)

Chat history sync is part of Coexistence onboarding. There is no separate setup afterwards, which is exactly why it's easy to miss.

Before you start:

  1. Configure webhooks on your API provider's platform first. This matters most. History arrives as a burst of webhook events. If webhooks aren't ready before you connect, the history has nowhere to land, and it isn't replayed later by default.
  2. Update the WhatsApp Business app to the latest version on the primary device.
  3. Use stable Wi-Fi, keep the phone charging and pick a quiet time. For high-volume numbers, the sync can take hours, and the app needs to stay open and connected throughout.
  4. Confirm the account and your access. Know which number you're connecting and make sure you have admin rights in your Meta Business portfolio.

During Coexistence onboarding:

  1. Connect your number through the embedded signup flow.
  2. When the WhatsApp Business app asks, choose to share your chats. Read this screen carefully: this choice is the whole feature.
  3. Keep the WhatsApp Business app open and online while the sync runs. Don't close it, force-quit it or let the phone sleep on a weak connection.
  4. Let it finish. History appears gradually in your provider's inbox, and in your CRM if webhooks are connected, over minutes to hours.
  5. Spot-check an older conversation once it's done, ideally one with older media, so you know what placeholders look like.

WhatsApp chat history not syncing? 6 common reasons

If history didn't come through, it's almost always one of these:

SymptomLikely cause
Contacts synced, no old chatsChat sharing wasn't selected during onboarding
Sync started, then stalledApp was closed, phone slept or internet dropped mid-sync
Nothing synced at allOutdated app version or no internet during setup
History was sent but never appearedWebhooks weren't configured before connection
No history and no retryThe 24-hour window passed without a history request
Import rejected with an errorChat sharing is turned off in the WhatsApp Business app

1. Chat sharing wasn't selected. The most common cause by far. The option is easy to rush past, and it can't simply be switched on later because it's tied to that onboarding.

2. The app was closed during the sync. The Business app is the source of the history, so it must stay open for the transfer to finish. If it's swiped away, put in the background for too long or the phone restarts, the sync is interrupted.

3. Internet problems. A dropped connection stalls the transfer. The app may look fine while the history quietly stops flowing.

4. Outdated app version. History sync needs a recent WhatsApp Business app. Older versions can fail without a clear error.

5. Webhooks weren't configured first. This one is sneaky. The sync may have happened, but the events were sent to an endpoint that didn't exist. The data is effectively lost, which is why checking webhooks before setup is essential.

6. The 24-hour window was missed. History must be requested and synced within 24 hours of connection. After that, it can't be requested on the same onboarding.

How to troubleshoot chat history sync, step by step

Work through these in order.

Step 1: Check whether contacts synced. This is your first clue. If contacts are there, the connection itself is healthy and the problem is specific to history. If contacts are missing too, look at the connection: the app, the internet or an onboarding that didn't fully complete.

Step 2: Ask your API provider to check the history request. History sync is handled between Meta and your provider. If you're still within 24 hours of connecting and the request hasn't been made, your provider can make it now. Only one request is allowed per onboarding, so fix the conditions first (app open, internet stable, webhooks healthy) before it's triggered.

Step 3: Check the basics on the phone. Is the app updated? Is it open, not just installed? Is the internet stable? Simple checks, but they solve a surprising number of cases.

Step 4: Confirm webhooks are configured and healthy. Look for webhook errors or dropped events in your provider's dashboard. If history was sent but your endpoint rejected it, you have your answer.

Step 5: Disconnect and reconnect. If the 24-hour window has passed or the single request was used, this is the only way to get history again. A new Coexistence onboarding gives you a new chance to share chats and a new sync. Be aware that disconnecting can pause message flow, and you need to repeat onboarding carefully this time: webhooks confirmed, chat sharing selected, app open, stable internet.

Step 6: A stopgap for critical threads. If one or two conversations can't wait, use WhatsApp's built-in chat export in the app (open the chat, then the menu, then Export chat, with or without media). It's manual and works one chat at a time, but it can unblock tomorrow morning's deal review.

Can chat history be exported to a CRM?

Yes, as long as your webhooks were configured before Coexistence setup.

History doesn't arrive as a downloadable file. It arrives as a stream of webhook events to your API provider at the time of connection. Your provider then maps those messages, media, timestamps and statuses to the right contact records in your CRM.

Two practical points:

  • Order matters. Webhooks set up before onboarding mean complete history in your CRM. Webhooks set up after mean the backfill events are lost.
  • The CRM gets exactly what synced. That means one-to-one chats only, full media only for roughly the last 14 days, and no groups or call logs. Set expectations with your team before someone goes looking for last quarter's group thread.

If you're using Chakra, chat history flows into the team inbox and syncs to your CRM through the two-way integration. The setup guide covers the webhook step in the right order.

FAQ

Why did my contacts sync but not my chat history? They are separate syncs. Chat history also needs the business to choose to share chats during onboarding, the app to stay online and webhooks to be ready. Contacts present but no history usually means the connection is fine and the history step was skipped or interrupted.

Can my API provider manually sync the chat history? Only within 24 hours of connection, and only once per onboarding. If the request wasn't made in that window, or it was used and failed, the only route is to disconnect and onboard again.

How long does the initial sync take? From a few minutes to several hours, depending on chat volume. For busy numbers, keep the phone charging, on Wi-Fi, with the app open.

Does group chat history sync? No. History sync covers one-to-one chats only. Groups, channels, status updates and call logs stay in the app.

What happens to media older than two weeks? The message text syncs, but the media file may arrive as a placeholder instead of the actual file. Full media is guaranteed only for roughly the last 14 days.

Do new messages sync after the initial backfill? Yes. The 6-month import happens once. After that, one-to-one messages flow in real time through the API as normal Coexistence traffic.

Can I re-run chat history sync later? Not on the same onboarding. To sync history again, disconnect and reconnect the number, which starts a new onboarding with a new chance to share chats. Expect a short gap in message flow during the switch.

The bottom line

Chat history sync is a useful feature with strict rules: choose to share chats, configure webhooks first, keep the app open and online, and complete the sync within 24 hours, with one request per onboarding. Almost every "my history didn't sync" story comes back to one of these being missed.

Get them right, and your CRM starts warm, with six months of context on day one instead of a blank slate.
